    JOB SUMMARY:

     

     

    The Centralized Scheduling Manager is responsible and accountable for the management of the reporting departments including strategic, tactical and operational oversight, ensures the volume of work meets production/service standards and meets and/or exceeds quality standards.  Designs and changes processes to increase efficiency and effectiveness of core functions.  Successful management of patient access is critical in enhancing the patient experience, customer/physician satisfaction, timely payment processes, and preventing payment denials.

    This position ensures the delivery of superior customer service while minimizing hospital, physician and patient exposure to complaints and financial loss.  The incumbent will support the department Director in attaining department quality and productivity standards. 

    Responsibilities

    JOB RESPONSIBILITIES:

    1. Management of the scheduling, pre-collections, and financial clearance functions to ensure proper process implementation and quality customer service. Also, provides front-line assistance and acts in a supervisory capacity as needed. 
    2. Ensures compliance with state and federal regulations, third party payer requirements and other outside agencies. Maintains positive and collaborative working relations with other hospital departments and staff.
    3. Directly accountable for achieving all goals set by/for the access center including scheduling, pre-collections, and financial clearance. Manages employee KPI, Quality Assurance and Productivity score cards and remediation activities.
    4. Manages numerous Call Management, AllScripts, RIS, SIS and SCI/Scheduling systems critical to proper and efficient process flow to meet revenue and productivity Key Performance Indicator (KPI) improvements.
    5. Develops and implements ongoing operationally effective training on systems, programs, applications, and operations to Central Scheduling staff and others as deemed appropriate using standardized materials. . Keeps key facility staff informed of training programs, schedules, employee participation and performance level and works closely with Central Scheduling Leaders in targeting key areas of performance for all Central Scheduling areas. 
    6. Provides computer technical expertise, technical guidance and direction in the implementation and operation of computer systems; used for scheduling, financial, clinical and/or administrative systems.
    7. Assists with accelerating cash flow, reducing bad debt hospital-wide, and elimination of denials relating to outpatient and inpatient visits by working with the business office and the director of patient access to identify trends and areas of opportunity.
    8. Directly accountable for achieving all goals set by/for the access center including scheduling, pre-collections, and financial clearance
    9. Responsible for maintaining a Quality Assurance Program encompassing all Central Scheduling Areas ,
    10. Maintain knowledge of functional area and company policies and procedures.
    11. Promotes and facilitates continuous quality improvement activities and teams, and makes recommendations to implement improved processes.
    12. Assists in budget development and monitors departmental budget. Ensures appropriate provision and utilization of departmental resources as follows:
      • Interviews, selects, trains, and supervises departmental staff. Evaluates performance, making recommendations for personnel actions and motivation of employees to achieve superior performance. Oversees time and attendance coordination for assigned staff, including monitoring overtime and productivity

    14. Performs other duties as assigned to meet the goals and objectives of DeKalb Medical.

    Qualifications

    QUALIFICATIONS:

    Minimum Education, Experience and Licensure Required:

    ·         Bachelor Degree required and related Healthcare Revenue Cycle experience.

    ·         Three – five (3 – 5) years of experience in a Central Scheduling, Patient Access, Patient Financial Services, or related healthcare environment.

     

    Skills, Knowledge and Abilities:

    ·         Must be able to deal constructively with conflict; collect, analyze and interpret data from a variety of sources and take appropriate action. 

    ·         A working knowledge of principles and practices of department administration, including methods and techniques used in program management and development, planning, organization and financial and personnel reporting practices. 

    ·         Medical terminology (ICD-9, ICD-10, CPT knowledge, etc.). 

    ·         Understanding of revenue cycle and regulatory guidelines such as CMS, EMTALA, and HIPAA. 

    ·         Must be able to plan, organize and coordinate varied and complex operations, present ideas effectively, orally and in writing to a diverse audience.  Professional attitude and appearance.

    ·         Proficient personal computer skills including Microsoft Office.

    ·         Ability to maintain the highest level of confidentiality.

    ·         Excellent interpersonal, written, and oral communication skills.

    ·         Must be able to select, supervise, train and evaluate employees
